Administrator

Job Description

Reporting Relationship – The admin reports directly to the Director of Nursing.
Purpose of the Post –The co-ordinating and management of the day to day admin functions.

Role and Responsibilities General Administration:

  • Dealing with telephone queries and taking messages
  • Maintaining and ordering stationery stocks
  • Filing, photocopying, faxing, mailing
  • Maintain records in line with HIQA requirements
  • Printing, collaborating and binding documents
  • Maintaining equipment register
  • Organising servicing schedule for all equipment in Clarinbridge Care Centre Finance
  • Record incoming invoices, receipts and associated documents
  • Bank Lodgements
  • Policy and procedure development for administration, learning and development & I.T
  • General support to staff
  • Project Work
  • To undertake such other duties as may be assigned from time to time by the Director of Nursing
  • Be aware of the confidential nature of the work and, the right of residents to confidentiality. To this end you will not discuss workings of the Home or its residents with people outside the Home

HR

  • All paperwork for incoming and outgoing employees including maintenance, reference checks
  • Completion and maintenance of roster
  • Renewing garda vetting as appropriate
  • Staff Liaison for all HR issues
  • Staff orientation – ensuring assigned to a senior member of staff and induction paperwork completed Completing training agreements for staff as required
  • Minute Meetings
  • Learning and Development
  • Maintaining the training matrix for all staff
  • Ensuring compliance with HIQA standards regarding mandatory training
  • Scheduling all training in the Care Centre
  • Time Management Systems
  • Ensuring accurate data entry for all staff in the TMS
  • Completing anomalies
  • Completing fortnightly payroll to send to TMS
  • Monitoring absenteeism and time management

Accounts

  • Upload all invoices to QuickBooks in a timely manner
  • Ensure delivery dockets match invoices and correct amount being paid by the company
  • Keep records of all expenses and invoices accurately

Other Duties

  • Equipment – coordinating routine maintenance of all equipment – keeping records of same
  • Ordering badges and Uniforms and charging back as required
  • Absconsion drills
  • Completing forms for staff as requested – FIS, social welfare, immigration

Professional knowledge.

Essential:

  • Demonstrate sound knowledge of older people
  • Previous experience in care of the elderly desired not essential

Core Aptitudes:

  • Act as a good role model
  • Must be of the caring nature, sympathetic to the needs of all the residents
  • Have good communication and interpersonal skills
